CHAPTER 1

INTRODUCTION

1.1    BACKGROUND OF THE STUDY

Times are fast changing; we now live in a jet age which is mainly characterized by rapid changes in technology, lifestyle and value.  This is indeed an age of information explosion. One of the major inventions that have driven the world to a fast pace of technological advancement is the computer. The computer is primarily an electronic information processor that is rapidly changing the way we acquire, organize, recall, access, analyze, synthesize and apply information. The effectiveness with which the information is generated and communicated determines the rate of progress of a society and the fulfillment of its people.  Modern society is information driven and information today is a universal need.
Moreover, computers have affected the ways which people use information.  It has changed the rate of work done, the method for accomplishing the work alongside the relationship among the people carrying and using the information.  However, computers and libraries are not left out in the utilization of computer to carry out their day-to-day activities especially as it concerns the amount of information generated.  Libraries have evolved over the years which gave rise to Electronic libraries.


1.2    PROBLEM DEFINITION

There are numerous problems with the traditional libraries.  These in-adequacies are enumerated below.
  1. The users of the traditional library need to go to the library physically which most times could lead to congestion of the library
  2. Inability for the library resources to be accessed 24/7.
  3. The library resources cannot be simultaneously used.  It is one at a time.
  4. Traditional libraries are limited by storage space.

1.3 AIM AND OBJECTIVES

The aim of the project was to develop an Electronic Library Management System, with a search functionality to facilitate the search and management of library resources. The proposed system Electronic Library System has its general objectives which it is set out to achieve. They are as follows:
a)      To create variety of access services for searching, browsing and discovering resources.
b)      To organize and index Electronic objectives for different purpose which includes cataloging, finding aids and database.
c)      Reduction of loan and acquisition through the use of Electronic library.
d)     Comprehensive storage of large repository of data that can be accessed by authorized users.
e)      Reduce the cost of maintaining a traditional library.

1.4    SIGNIFICANCE OF THE STUDY

In implementing the objectives of this study, the advantages of an Electronic library over the traditional library are enormous.  Users will be able to access library resource electronically without the inconveniences of users carrying books, journals, magazines etc. which could result in rapid wear and tear of this library resource.  Besides, it will afford users the opportunity to access Electronic books simultaneously without waiting for the book to be returned to the library.The proposed system will provide security to help track library resources through the development of a comprehensive database that will be used to house the library resources.  The system will also eliminate some of the routine manual work prevalent in a traditional library .The objectives of this proposed system has been narrowed.  This is geared towards ensuring that the objectives are achieved.  They are as follows:

  • Removal of Physical Bounding:  Ensure that the users do not always go to the library physically, but can access library resource once he/she is connected to the server.
  • Round the Clock Availability:  To enable users to be able to gain access 24/7 to the information.
  • Information Retrieval:  To make it easy and convenient for the user to use any search term (Title OR Authors name) to search the entire collection, thus providing user-friendly interfaces, and giving clickable access to its resource.
  • Preservation and Conservation: Provide access to materials that would otherwise fall to degradation from repeated use.
  • Multiple Access:  Ensure that the same resources can be used simultaneously by a number of persons.
  • Space:  Able to provide storage for information electronically by using little physical space to contain them.

1.5    SCOPE OF THE STUDY

The findings of this research work for the proposed system (Electronic Library System) were carried out in the Federal University of Technology, Owerri (FUTO) in their Electronic library section.  The scope of this study will include the following:
  1. Information indexing/cataloguing.
  2. Classification of library resource.
  3. Searching and retrieval.
  4. Registration of books/uploading of Electronic resources
  5. Registration of users.
  6. Database management.
1.6    LIMITATIONS
This proposed system  will not take into consideration audio and video collections.  It is web based not a standalone delivery system with its own user file and login ID and password.  Also, time constraint during the time for this project work is short. Financial resources are a limitation encountered in the course of this research work.

1.7    GLOSSARY

  • Electronic/Electronic:  Relating to or using signals or information represented by discrete values of a physical quantity.
  • Library:  A building or room containing collections of books, periodicals and sometimes films and recorded music for people to read, borrow or refer to.
  • Electronic/Electronic Library:  Is a type of information retrieval sysystem stem in which collections are stored in Electronic format.
  • Information:  This is a collection of facts or data.
  • OPAC: (Online Public Access Catalog) an online database of materials held by a library or group of libraries

1.8    ORGANISATION OF CHAPTERS

This research work is organized as follows:
Chapter one: presents a background of study of the five main areas that are discussed in this work which are:  aim and objective of work, significance of study, scope of study, limitation of study and how the work is been organized.
Chapter two: termed literature review explains some of the works done by other researchers on the above topic.
Chapter three: In this chapter the topic is discussed with regards to the system to be analyzed.
Chapter four: This chapter has the system design.
Chapter five: This chapter discusses the implementation.
Chapter six: This chapter has the summary and conclusion, recommendation, Conclusion and reference.



CHAPTER 2

LITERATURE REVIEW

2.1 INTRODUCTION


A literature review is an account of what had been published on electronic library system by accredited scholars and researchers, a piece of discursive prose explaining the intellectual progression of the field including major debates (P.N Anson and O.Schwegler, 2000) .  This literature review will present the historical perspective, initial developments and the current situation, possibilities of new inventions including problems and issues raised, arguments discussed, strengths  and weakness to enhance knowledge, sharpen understanding and broaden researchers’ perspective on the electronic library system. The first libraries consisted of archives of the earliest form of writing the clay tablets in cuneiform script discovered in temple rooms in Sumer, some dating back to 2600 BC. These archives, which mainly consisted of the records of commercial transactions or inventories, mark the end of prehistory and the start of history (B.N.Taylor, 2001). Things were much the same in the government and temple records on papyrus of Ancient Egypt. The earliest discovered private archives were kept at Ugarit; besides correspondence and inventories, texts of myths may have been standardized practice-texts for teaching new scribes. There is also evidence of libraries at Nippur about 1900 BC and those at Nineveh about 700 BC showing a library classification system . Philosopher Laozi was keeper of books in the earliest library in China, which belonged to the Imperial Zhou dynasty. Also, evidence of catalogues found in some destroyed ancient libraries illustrates the presence of librarians. (B.N.Taylor, 2001)

2.2 RELATED LITERATURE

2.2.1 CLASSICAL PERIOD

The Library of Alexandria, in Egypt, was the largest and most significant great library of the ancient world. It flourished under the patronage of the Ptolemaic dynasty and functioned as a major center of scholarship from its construction in the 3rd century BC until the Roman conquest of Egypt in 30 BC. The library was conceived and opened either during the reign of Ptolemy I Soter (323–283 BC) or during the reign of his son Ptolemy II (283–246 BC). An early organization system was in effect at Alexandria.

The Library of Celsus in Ephesus, Anatolia, now part of Selçuk, Turkey was built in honor of the Roman SenatorTiberius Julius Celsus Polemaeanus (completed in 135) by Celsus’ son, Gaius Julius Aquila (consul, 110 AD). The library was built to store 12,000 scrolls and to serve as a monumental tomb for Celsus.

Private or personal libraries made up of written books (as opposed to the state or institutional records kept in archives) appeared in classical Greece in the 5th century BC. The celebrated book collectors of Hellenistic Antiquity were listed in the late 2nd century in Deipnosophistae. All these libraries were Greek; the cultivated Hellenized diners in Deipnosophistae pass over the libraries of Rome in silence. Seneca inveighed against libraries fitted out for show by illiterate owners who scarcely read their titles in the course of a lifetime, but displayed the scrolls in bookcases (armaria) of citrus wood inlaid with ivory that ran right to the ceiling: "by now, like bathrooms and hot water. (B.N.Taylor, 2001)

In the West, the first public libraries were established under the Roman Empire as each succeeding emperor strove to open one or many which outshone that of his predecessor. Rome’s first public library was established by Asinius Pollio. Pollio was a lieutenant of Julius Caesar and one of his most ardent supporters. After his military victory in Illyria, Pollio felt he had enough fame and fortune to create what Julius Caesar had sought for a long time: a public library to increase the prestige of Rome and rival the one in Alexandria. Polios’ library , the Anla Libertatis, which was housed in the Atrium Libertatis, was centrally located near the Forum Romanum. It was the first to employ an architectural design that separated works into Greek and Latin. All subsequent Roman public libraries will have this design.[21] At the conclusion of Rome’s civil wars following the death of Marcus Antonius in 30 BC, the Emperor Augustus sought to reconstruct many of Rome’s damaged buildings. During this construction, Augustus created two more public libraries. The first was the library of the Temple of Apollo on the Palatine, often called the Palatine library , and the second was the library of the Porticus of Octaviae, Unlike the Greek libraries, readers had direct access to the scrolls, which were kept on shelves built into the walls of a large room. Reading or copying was normally done in the room itself. The surviving records give only a few instances of lending features. Most of the large Roman baths were also cultural centres, built from the start with a library , a two-room arrangement with one room for Greek and one for Latin texts. Libraries were filled with parchment scrolls as at Library of Pergamum and on papyrus scrolls as at Alexandria: There were a few institutional or royal libraries which were open to an educated public but on the whole collections were private. In those rare cases where it was possible for a scholar to consult library books there seems to have been no direct access to the stacks. In all recorded cases the books were kept in a relatively small room where the staff went to get them for the readers, who had to consult them in an adjoining hall or covered walkway. At this time the library catalogue was written on scrolls of fine silk and stored in silk bags. (B.N.Taylor, 2001).


2.2.2 SHIFT TO DIGITAL LIBRARIES


High levels of attention and findings were first given to Electronic libraries in the early and mid-1990s, which led to a booming era with a large number of visions and projects. Scholars in the field wanted to find ways to apply or create technologies in order to better use and share information on the network systems, which themselves are developing at an amazing speed.  The shared vision is best illustrated in the mission statement of Electronic Library Initiative (DLI).  The initiative focus is to drastically advance the means to collect, store and organize information in Electronic forms, and make it available to searching, retrieval and processing via communication network. Electronic Library Initiative (DLI) is the biggest and the most important Electronic library research project among all. (Emelie, 2010)

2.2.3 THE INTERNET


library may make use of the Internet in a number of ways, from creating their own library website to making the contents of its catalogues searchable online. Some specialized search engines such as Google Scholar offer a way to facilitate searching for academic resources such as journal articles and research papers. The Online Computer Library Center allows library records to be searched online through its World Cat database. Websites such as library Thing and Amazon provide abstracts, reviews and recommendations of books. Libraries provide computers and Internet access to allow people to search for information online. Online information access is particularly attractive to younger library users. (Bomer, 2005).
Digitization of books, particularly those that are out-of-print, in projects such as Google Books provides resources for library and other online users. Due to their holdings of valuable material, some libraries are important partners for search engines such as Google in realizing the potential of such projects and have received reciprocal benefits in cases where they have negotiated effectively. As the prominence of and reliance on the Internet has grown, library services have moved the emphasis from mainly providing print resources to providing more computers and more Internet access. Libraries face a number of challenges in adapting to new ways of information seeking that may stress convenience over quality, reducing the priority of information literacy skills. The potential decline in library usage, particularly reference services, puts the necessity for these services in doubt. library scholars have acknowledged that libraries need to address the ways that they market their services if they are to compete with the Internet and mitigate the risk of losing users. This includes promoting the information literacy skills training considered vital across the library profession. However, marketing of services has to be adequately supported financially in order to be successful. This can be problematic for library services that are publicly funded and find it difficult to justify diverting tight funds to apparently peripheral areas such as branding and marketing.
The privacy aspect of library usage in the Internet age is a matter of growing concern and advocacy; privacy workshops are run by the Library Freedom Project which teach librarians about digital tools (such as the Tor Project) to thwart mass surveillance. (Bomer, 2005)

2.2.4 CHALLENGES OF ELECTRONIC LIBRARY IN NIGERIA

The challenges and prospects of library in Nigeria especially the universities are enormous.  Most university libraries in Nigeria are in a deplorable state due to inadequate funding.  This manifests in libraries having few current books, journals and other reading resources, staff shortages, deterioration of facilities, inadequate equipment and even library buildings.  Such situations are not conducive environment for reading.  The Electronic library project has the capacity of solving this problem.  In this period of information explosion, there is the need for university libraries in Nigeria to use appropriate technology to access the world information in other to enable universities carryout their traditional functions of teaching, research and public service effectively and efficient.
Electronic libraries are being introduced to the library system worldwide.  The industrialized world is creating Electronic libraries because of the high value placed on the availability of information.  The increasing acceptance of Electronic library might be due to the diverse information that they contain, the options for what they can include are virtually endless, as well as becoming more and more boundless as technology advances.
University libraries in Nigeria are virtually non-existent in both rural and urban marginal areas.  Where they exist, the orientation is narrow and book-centered on outdated and inadequate collections with services undermined by poor funding obsolete and inadequate collections (Atinmo, 2006).  The roles of university libraries as sources of learning, education, innovation and research, tools for social development and as a means of communication have becoming seriously eroded.  It was suggested that for university libraries to cater effectively for the social, cultural and developmental needs of library users in Nigeria, Electronic library has to be put in place.
With Electronic library, the quality of academic library collections will be bolstered up, staff and students will be able to access database for teaching and research.  (Okebukola, 2002)Is of the view that Electronic library would improve the quality of teaching, learning and research in higher institutions through the provision of current electronic books, journals and other library resources. (Ya'u, 2003)Asserts that the Electronic library has an opportunity to address the paucity of teaching and research materials in the libraries of higher institution in Nigeria, as well as giving room for sharing of research outputs with the global community amongst the institutions and the local researchers.
More so, the implementation of an Electronic library implies that libraries will spend more money on computer hardware and software, licensing, training of librarians in new technologies especially in the area of text selection, scanning, verification and indexing of the materials to be digitized as well as employment of experts with web technology skills to support and manage them.  Copyright holders have to be contacted and rights obtained.  Money is needed to translate content into Electronic form and to access the resources.  A powerful server is required, supported by specialized software and personnel. The server must operate all day, and new materials should constantly be added.
Building and sustaining an Electronic library requires the proper technological infrastructure which includes telecommunication, servers, application platforms and software applications.
Web technology skills are needed to maintain web servers that host locally digitized materials and other Electronic resources hosted remotely as well as maintaining proxy access to restricted resources. (M.K Aschroff,G.J Watts, 2004)Observed that Nigerians have an acute shortage of Electronic system libraries to install and manage technology networks.  The erratic nature of electric power supply in Nigeria is a major problem.  Electronic libraries cannot exist in this situation because web servers that host locally digitized contents and proxy server that provide authentication and remote access to subscribed electronic resources need to be powered twenty-four hours a day.
Another challenge is the lack of purpose-built library buildings. (A.Ifidon,J.N Okoli, 2002)Observed that the first and second generation universities, those established between 1948 and 1970, 1971 and 1979 respectively have completed their library buildings while the situation of the third generation universities i.e. those established between 1980 and 1983 is very bad.  Also, difficulties are always encountered while downloading or printing.  Everything is not available in Electronic format.  There are restrictions, which vary from vendor to vendor, on how the product can be used.

2.2.5 CONCEPTUAL ISSUES

A library is an organized collection of items which may be in form of books, journals, videos, CD-ROM etc., along with the services required to make them available to a given user group or group.  It can also be referred to as a place to get information and to get help information.  The “place” can be physical, virtual/Electronic or a combination of both.
The Electronic library can be referred to as a child of necessity arising from the need to use technologies in accessing the world information.  There is a need to access information globally through the internet because we are now in the period of information explosion.  In order for the universities in the world in general and Nigeria in particular to function effectively and efficiently, it is necessary to have an Electronic library system.
The term Electronic library has been defined by many different people in many different ways. According to (Riccio, 2001), it is a library  in which the holdings are found in electronic stacks without any regard to a physical space or location.  It is a technological way of bringing together the resources of various libraries and information services in one place, so that users can find what they need quickly and easily. An Electronic library can consist of materials from variety of separate libraries that are organized in a virtual space using computers and computer networks.  Electronic library is a collection of machine readable documents made available through an internet site.  Electronic libraries can then be taken to be a computerized library system which provides multiple accesses to the entire collections of a library by means of electronic media. (D.Silva,J.Laender,M.Goncalves, 2007)defines Electronic library as a library that harnesses Electronic technologies as infrastructure to search, collect, organize, store and distribute cultural, historical, and scientific information whether it is text, visual, images or sound. (B.M Lynch,K.O Clifford, 2003) Defines Electronic library as the concept of remote access to the contents and services of library and other information resources, combining on-site collection of current and heavily used material in both print and electronic form with an electronic network which provides access to, and delivery from external worldwide library and commercial information and knowledge sources.
(Sherwell, 1997)Has identified the following characteristics of Electronic libraries:
  • There is no corresponding physical format.
  • Availability of document in electronic/digital formats.
  • Documents are not stored in any one location.
  • Accessibility of document from any workstation.
  • Retrieval and deliverance of documents and when required.
  • Availability of effective searching and browsing facilities.

2.2.6  LIMITATIONS OF ELECTRONIC LIBRARY SYSTEM

1.      The e-library is Expensive: It is clear from the UK e-library surveys that developing the electronic library is currently not an easy way to save money. One of the lessons of e-Lib as a whole in the UK is that electronic media do not save money or library space and are not likely to in the near future.” As far as prices are concerned, a few examples illustrate the point. E-journal deals often cost seven or eight per cent on top of existing paper subscriptions, and often prevent cancellation of the paper. There is also the added problem of VAT which is chargeable for electronic resources whereas printed publications are exempt. (W.O Pascal,H.J Broker, 2015)  

2.      Institutional funding Issues: The institution must be ready to fund the e-library. All users in the institution can usefully be kept informed about pricing issues in order to gain their support for investment in resources.  Many products come as cross-disciplinary packages of material and working out which subject pays (or part pays) for a particular resource can be unnecessarily complex. Library funding allocation models need to be constructed to ensure that libraries have the flexibility to respond to the available deals on behalf of all of their users.

3.      Issue of Priorities: Libraries may need to reappraise their overall budgeting priorities and expectations in the context of the e-library. As we moved from the ‘traditional library’ model to the ‘automated library’ model (where traditional library processes, such as cataloguing and circulation, were automated), librarians became used to spending large amounts of money on library management systems (LMSs) and on the staff to maintain them. He goes on to say that “the cataloguing of ‘toll-gated’ electronic information – e-journals and e-books – should now be the highest priority for our cataloguing departments (or metadata units

4.      Systems and technical issues of Integration: Again from the UK survey compiled by (P.Stephen, 2002) systems and technical issues are major challenges. The fundamental issue is integration – bringing the different components of the library together as a coherent whole. Integration is also fast becoming a bigger problem. Libraries are no longer just dealing with digital textual resources but a wide range of different types of data. These include statistical, mapping, graphical, sound, and moving image materials to name a few. The challenge of creating a navigable online library environment which allows users to move between and around key resources continues to be a big one.

5.      Cross searching and linking: The issue of designing ways of navigating the wide range of resources is a major challenge. The use of various cross-searching and linking technologies is now high on the agenda. Z39.50 is a major facility in this area. As a protocol designed for the exchange of bibliographic data, it is often seen as the most likely solution to the problem of integration. (W.O Pascal,H.J Broker, 2015)

6.      The Issue of Authentication, Authorization and Personalization: Authentication, authorization and personalization issues are big technical challenges for e-library. Each has major service implications for security and integrity of the whole system and must be carefully formulated to be flexible enough serve internal institutional needs. The related issue of personalization is also an ongoing challenge. One key issue, as with personalization for e-library services, is the extent to which user intervention is required. Issues of security and data protection need of course to be considered here, especially for personalized SDI services

7.      Issue of Management: Management applies to parts of e-library because once a material has been acquired it needs must be managed. The management of e-journals is, for example, a particular problem. For every e-journal package, there is always an ongoing maintenance problem. Packages seem to add and subtract titles on a regular basis. Perhaps there is a role here for subscription agents. Libraries will certainly welcome opportunities to hand over some of the laborious administration associated with e-journals to a reliable third party. (W.O Pascal,H.J Broker, 2015)

8.      The Issue of Digital Preservation: Another important aspect of the management of e-materials is preservation. In the main, electronic resources have been acquired by libraries to satisfy immediate need. The issue of preservation of electronic materials has been side-stepped. In many areas, libraries have continued to acquire paper in parallel with e-versions. However, as the prospect of e-only versions of material becomes more immediate, the preservation issue becomes more pressing. However, the preservation question remains a key one for all libraries. It will have an impact on the whole direction of local e-collection development policies. Until the issue is nearer resolution, library managers will not have the confidence to move decisively from paper to electronic-only resources. (W.O Pascal,H.J Broker, 2015)

9.      Issue of Content creation: Electronic resources are not only being acquired by libraries, but also created by them. Libraries are increasingly active in digitizing materials both to preserve the originals and to add value to them. Library staff is also increasingly involved in creating content for learning and teaching purposes. Such activity needs to be built into general collection development policies of libraries. Its importance needs to be recognized by library managers and academic staff.

10.  User issues: Marketing, Training and Liaison: Given the near existence of e-library in Nigeria, one main issue may be market penetration of e-resources. To what extent would they use actually? Who will use them? Who will not use them? In order to help to ensure that quality resources are used widely and effectively, it is important to have marketing strategies in place and also Information skills training opportunities. It is also essential to have good formal and informal liaison mechanisms set up to ensure that the resources purchased are the right ones and once they are purchased that they are used. The complexity of the current information environment means that users more than ever need assistance in navigating the resources. In particular, users need assistance in identifying high quality resources. There is a crucial role to play here for information professionals in guiding and training users to help them find and use high quality (both free and paid for) e-resources. (W.O Pascal,H.J Broker, 2015)

11.  Information services and convergence Issues: Many issues associated with the delivery of electronic library resources do not involve the library alone. Libraries now more than ever deliver their e-services in the context of a wider ICT-based provision. Electronic library delivery relies on the infrastructure, hardware and expertise provided by computing services in universities. It is then essential that the library as an organization works in close partnership with the computing service. This partnership of these organizations can take a variety of forms ranging from organizational merger to strategic alliance. It will vary from institution to institution. But whatever form it takes it must be ‘an ever closer union’ if users are to be properly served (W.O Pascal,H.J Broker, 2015)

CHAPTER 3

RESEARCH METHODOLOGY AND SYSTEM ANALYSIS

3.1 METHOD OF DATA COLLECTION

There are several data collection techniques that can be used. Some of these techniques are
  • Observation:  This is the use of visual and visual aids like the eyes to study, compare, and analyze situations. From the observation carried out, it has been observed that the manual system of reading is gradually becoming outdated due to our technologically growing society, as a society can only move forward when it adapts with technological growth.
§  Record Review: In record review, the researcher examines details and description of how the manual system i.e. the face-to-face learning was operated. The registration form from the existing system  was critically examined to identify areas that need improvement. The input design of the manual system comprises of input items such as surname, middle name, last name, nationality, state of origin, address, date of birth, passport, etc., filled on a paper form submitted on the processing desk.

3.2  SYSTEM REQUIREMENTS
3.2.1  ANALYSIS OF THE OLD SYSTEM OF MADONNA UNIVERSITY
In Madonna University located in Elele, Rivers state, most, if not all the activities that are performed in the library are done on papers i.e. most of the documentations, including registration ranging from staff to students, list of borrowed books are all paper based systems. Analysing as a case study, the library department of Madonna University, is in charge of provision and housing of books for the University for Frequent Researchers to get their researching needs satisfied. Provision of these needs ranging from buying, cataloguing, registration of books, sorting and retrieval of books.
In Madonna University, Elele, registration of students and staffs, releasing of books to students or staff is done by the librarian while procuring of new and revised standards of books is done by the HOD of the library department. Due to the manual or paper based systems that are used by the library there are some provisions made available to ensure easy storage of the students or staff personal record in to the system, these provision are cards that are issued to the student on arrival for registration to gain access into the library and such data which include the Full Name, Registration No, Nationality, State of Origin, Date of Birth, Home Address, E-mail, Sex and Phone No are stored in the HOD's office and most of all these records can be stored for up to ten to fifteen years. The department also being the information pillar post in the school also help keep the staff record for the university ranging from personal information to departmental records of the staff in the school. But the main lag or problem associated with this system is that it is very slow and is not cost effective, there by slowing down the retrieval and storage service rendered by the librarian.

3.2.2 PROBLEM ASSOCIATED WITH OLD SYSTEM OF MADONNA LIBRARY

During the analysis of the existing system of Madonna University Library, Elele, in the course of our Project Research, we observed some problems that were inherent in the existing system and they are listed below as follows:
1. Monotonous storage of record
2. Bulkiness and heaviness of files
3. Misplacement of student’s record due to negligence on the part of the library workers.
4. Slow and strenuous retrieval of records and report of students
5. The system is not cost effective

3.2.3 THE NEED FOR AN ELECTRONIC LIBRARYSYSTEM

Because of the problems inherent in the existing system of Madonna University Library, Elele, the need for computerization becomes imperative. These are listed below as follows:
Ø  Record and reports of students will be easily retrieved with increased data security.
Ø  There will be reduction in the amount of resources, which in turn will lower the cost of library service, since information will be stored in a database with reduced data Redundancy.
Ø  There will be reduction in time used in retrieval of student’s files.
Ø  Reduction in bulkiness of files and record.
Ø  It will make available the storage room that was used for storage of files.

3.2.4 STRUCTURED SYSTEMS ANALYSIS AND DESIGN METHODOLOGY (SSADM)

This can be defined as a set of manual and automated activities organized to reproducibly accomplish a set of stated purposes on a computer. System analysis is a logic and creative processing having an integrated collection of specification of inputs, outputs, tools etc. of the system .  The aim is mainly to propose a specification, which will enable a complete and effective designs and implementation of the new system System design involves developments such as system flowcharts, jobs, steps, program narratives which enhance paper organization for computer execution.  The services ages of classical computer system are:
  • Problem Identification:  Which deals with definition of existing system prompted by a need to solve problem which have been identified?
  • Feasibility Studies:  It is the study of the existing system to identify its properties and problems.
  • Analysis:  In this phase, the process of collecting and analyzing facts in respect to the existing operations, procedures and system in order to obtain a full picture of the situation prevailing so that an efficient, effective computerized system  may be designed and implemented if proved feasible.
  • System Design:  This phase advances the findings in analysis stage for proper organization towards physical implementation of system efforts.
  • Implementation and Maintenance:  This phase ensures that the design is implemented and proper documentation on how to use the new system provided.  Maintenance deals with ensuring the system is operational after changes and it takes place after the system has been tested, accepted and fully implemented.
Hence this project was considered using a Structured Systems Analysis and
Design Methodology (SSADM).

3.3 SOFTWARE REQUIREMENTS

3.3.1   OPERATING ENVIRONMENT

The product will be operating in windows environment. The Library Management System is a website and shall operate in all famous browsers, for a model we are taking Microsoft Internet Explorer, Google Chrome, and Mozilla Firefox. Also it will be compatible with the IE 6.0.  Most of the features will be compatible with the Mozilla Firefox & Opera 7.0 or higher version. The only requirement to use this online product would be the internet connection.
The hardware configuration include Hard Disk: 40 GB, Monitor: 15” Color monitor, Keyboard: 122 keys. The basic input devices required are keyboard, mouse and output devices are monitor, printer etc.

3.2.1.2 Requirement

Software Configuration:-
This software package is developed using PHP as front end which is supported by sun micro system. Microsoft SQL Server as the back end to store the database.
Operating System: Windows NT, windows 98, Windows XP
Language: PHP (front end)
Database: MS SQL Server (back end)

3.2.1.3 Data Requirement
        The inputs consist of the query to the database and the output consists of the solutions for the query. The output also includes the user receiving the details of their accounts. In this project the inputs will be the queries as fired by the users like create an account, selecting books and putting into account. Now the output will be visible when the user requests the server to get details of their account in the form of time, date and which books are currently in the account.

3.2.1.4 External Interface Requirement
GRAPHICAL USER INTERFACE (GUI)
The software provides good graphical interface for the user and the administrator can operate on the system, performing the required task such as create, update, viewing the details of the book.
Ø  It allows user to view quick reports like Book Issued/Returned in between particular time.
Ø  It provides stock verification and search facility based on different criteria.
Ø  The user interface must be customizable by the administrator
Ø  All the modules provided with the software must fit into this graphical user interface and accomplish to the standard defined
Ø  The design should be simple and all the different interfaces should follow a standard template
Ø  The user interface should be able to interact with the user management module and a part of the interface must be dedicated to the login/logout module
Login Interface:-
In case the user is not yet registered, he can enter the details and register to create his account. Once his account is created he can ‘Login’ which asks the user to type his username and password. If the user entered either his username or password incorrectly then an error message appears.

Search:-
The member or librarian can enter the type of book he is looking for and the title he is interested in, then he can search for the required book by entering the book name.

Categories View:-
       Categories view shows the categories of books available and provides ability to the librarian to add/edit or delete category from the list.
Librarian’s Control Panel:-
This control panel will allow librarian to add/remove users; add, edit, or remove a resource. And manage lending options.
3.2.1.6 System Features
The users of the system should be provided the surety that their account is secure. This is possible by providing:-
Ø  User authentication and validation of members using their unique member ID
Ø  Proper monitoring by the administrator which includes updating account status, showing a popup if the member attempts to issue number of books that exceed the limit provided by the library policy, assigning fine to members who skip the date of return
Ø  Proper accountability which includes not allowing a member to see other member’s account. Only administrator will see and manage all member accounts.

3.2.2Hardware Requirements
Ø  Desktop computer with supporting accessories.
Ø  Input capture devices: Scanner and Video camera.
Ø  Printer.

Ø   Modem.

3.3 FUNCTIONAL REQUIREMENTS

1.      THE LIBRARIAN whose duties includes;
Ø  Adding Of Articles: he or she is in charge of transferring new entries into the database
Ø  Updating Articles: changes made in articles are updated
Ø  Delete  Articles: removes wrong entries from the system 
Ø  Inquiry Members: checks the details of all the registered members
Ø  Inquiry Issuance: makes inquiry of the database articles
Ø  Check out Articles: before any article can be issued, it must be checked out.
Ø  Check in Article: after receiving any article, system must re-enter the article by checking it in or signing it in.
Ø  Inquiry Waiting For Approvals: here he or she generates all newly application in waiting list.
Ø  Set User Permission:from this user case, librarian can give permission categorically.

2.      MEMBER
Ø  Authentication: user must authenticate his/ her account before accessing the system 
Ø  Search Article: user can freely search for any article
Ø  Request For Article: after successful searching, member can mark books as requested  article

3.      ASSISTANT LIBRARIAN
Ø  Prepare Library Database: All database must be prepared

4.      GUEST
Ø  Register User: user must fully fill all application form for registration

3.4 NON-FUNCTIONAL REQUIREMENTS

Ø  Safety Requirement:the database may crash at any time due to virus or operating system failure, so it is required to take the database backup.
Ø  Security Requirements:we are going to develop a secured database for the university. There are different categories of users namely teaching staff, administrator, library staff, students etc., depending on the kind of user the access rights are decided. Only the administrator can modify, delete, and append data, all other users other than the library staff only have the right to retrieve the information.
Ø  Software Quality Attributes: the quality of the database is maintained in such a way that it can be user friendly to all users of the database
Ø  Hardware Constraints: the system requires a database in order to store persistent data which must have backup capabilities.
Ø  Software Constraints: the development of the system will be constrained by the availability of required software such as database and development tools.

3.5SYSTEM INVESTIGATION
We visited the library section of the Madonna University, Elele to investigate the way activities were carried out.  We found out that the University Library operates a manual library which some call physical Library. We also visited the ICT unit of the Federal University of Technology, Owerri (FUTO). The Electronic library over there was not very functional as the processes where still carried out manually.
A staff in the library department informed us that they have electronic books or resources stored in CDs.  Once a student wants to read a book electronically, the CD is sorted out and it is uploaded into the computer, where the student now reads or watches the video clip.  The library does not have a software that is database-driven that stores these electronic books, so much so that if a student wants to read a book, he has to search for the book electronically via the computer.
Also, there is no provision of a student accessing the digital library of the university from a remote, which is an impediment to learning and research.  The volume of electronic resources available for use in the university library includes:

4.2INPUT DESIGN



Here every user is expected to provide certain information in other to enable the system carryout its function. These will be done with the aid of a Graphical User Interface, which will enable the user to interact with the system.

This is made for users whoare not yet registered, here a page is created so that they can fill in their  details and register to create his/her account

4.3 SYSTEM FLOW CHART

System flow charts are very similar to data flow charts. A system
flowchart explains how a system works using a diagram. The diagram shows the flow of data through a system . A systems flowchart shows the key inputs and outputs associated with the program. The shapes of the symbols indicate the types of input or output devices. System flowcharts are a way of displaying how data flows in a system  and how decisions are made to control events. The symbols are linked with directed lines (lines with arrows) showing the flow of data through the system .

4.5DATA FLOW DIAGRAM

The DFD represents how the data will flow in the system when it is build. In this modeling, the major functions in the software are identified. Diagram shows how data will flow through different processes or functions. From the context level diagram we examine high-level functional requirements of the system so main modules can be represented in level one of DFD using DFD notations. Thus, DFD is a hierarchical graphical model of the system that shows different processing activities of each processing module that the system performs and data is interchanged among these functions. This whole unit is represented in the form of different levels (such as level 1, level 2, levle3...DFDs) capturing the detailed structure of the system as perceived by the user.

4.6 CONTEXT LEVEL DIAGRAM
The context level diagram is the most abstract data flow representation of system . It represents the entire system as a single bubble. The main function of the system is mentioned in the bubble and the external entities with which this system interacts is represented. The incoming data and outgoing data are represented as arrows. The context level diagram for library management system  includes six external entities as shown in figure given below

  • Domain Login:  This allows an administrative personnel access to the system to carryout student registration, staff registration and also uploads of electronic resources.  These duties are specifically meant for the admin staff.
  • Student Registration File:  This holds information about registered students that makes use of the Electronic Library.

5.2 USER TESTING

We conducted a test with other users without a user guide and it was observed that the electronic library system we designed was easy and user friendly. Other users can easily access the system without any help from us the designers.

5.3 DOCUMENTATION

Documentation is defined as the formalized, detailed record containing the design of the new system . It outlines the technique and method utilized to correct the problems areas in the existing system . Documentation serves as the information medium used by programmer, analyst and users to discover the content and objectives of a particular project or program. It is kept for the future reference on a specific project. It creates a permanent, comprehensive and intelligent record of the program for the new system 
The program documentation involves statement of the sequence of the program, testing, running and output.  Since proper documentation helps the programmer to be able to affect future maintenance on the system , it is wise to document the work.  This program-Electronic library system has been subjected to some tests and has proven effective.  The test reveals bugs, which has been fixed.  The process is quite a lengthy and expensive process but when carefully followed yields dramatic results.  A careful and thoroughly designed Electronic Library System in the design stage helps minimize error during the time of testing and running.  It is a good practice to test each component of a program as it is produced as well as testing the complete program.

5.3.1 USER MANUAL/SYSTEM INSTALLATION

To use the system the following task should be performed, as listed below as follows:
Ø  Plug the socket very well and all the connectors to the system .
Ø  Boot your computer
Ø  Run  the program
Ø  The system will respond by asking for the password, and then you enter the password for verification. The program will display the Login page thereby if correct, will take you to the books page.

CHAPTER 6

CONCLUSION

6.1SUMMARY

The investigation and analysis of the present system was conducted and the problems associated with the old method of accessing electronic resources were discovered.  The new system was designed and implemented.  It took care of the problems identified during investigation.  The implementation stage was successful and it was implemented using PHP my Admin on Windows 8.1 Operating System.

6.2EVALUATION

The research on the Design and implementation of an electronic library system was very important and successful. The implementation ofan electronic library system will really be of great importance to both students and staff and there is room for further improvement as time goes by.

6.3   PROBLEMS ENCOUNTERED

Technical Architecture

The first issue is that of the technical architecture that underlies any digital library system. Libraries will need to enhance and upgrade current technical architectures to accommodate digital materials. The architecture will include components such as:
Ø  high-speed local networks and fast connections to the Internet
Ø  relational databases that support a variety of digital formats
Ø  full text search engines to index and provide access to resources
Ø  a variety of servers, such as Web servers and FTP servers
Ø  electronic document management functions that will aid in the overall management of digital resources

Building Digital Collections

One of the largest issues in creating digital libraries will be the building of digital collections. Obviously, for any digital library to be viable, it must eventually have a digital collection with the critical mass to make it truly useful. There are essentially three methods of building digital collections:
    1. Digitization, converting paper and other media in existing collections to digital form (discussed in more detail below).
    2. Acquisition of original digital works created by publishers and scholars. Example items would be electronic books, journals, and datasets.
6.4 LEASONS LEARNT
During the course of the project we learnt that the implementation of an Electronic Library System will enable library users to easily access the library frequently and simultaneously, this system will also reduce loan and acquisition, provide a search functionality to facilitate the search and management of library resources and reduce the cost of maintaining a traditional library. We also gained more knowledge in the use of PHP and Xamp server.

6.5 RECOMMENDATION
It is our recommendation to tertiary institutions especially the Madonna University, Elele, to fully implement this system as this will not only boost the efficiency of our library services but will also have a good boost on the corporate image of the institution and the quality of books available to student, thus placing the institution in a leading position in Nigeria. Also,werecommend that the Madonna University Library should ensure that books are made available in electronic format as it is in the hardcopies.
